- β Maintain & regularly update ownersβ names and addresses with their communication preference.
- β Make data available to Chairperson & Secretary and hand over during management transfer.
- β Make the Owners Corporation’s records available for inspection.
- β Make the Owners Corporation’s register available for inspection and provide document copies.
- β Maintain the Register of the Owners Corporation.
- β Issue Owners Corporation certificates and respond to reasonable enquiries at applicantβs cost.
- β Handle routine inward and outward correspondence.
- β Keep and supervise the use of the common seal.
- β Prepare & circulate meeting agenda at least 3 business days before meetings.
- β Prepare & submit draft minutes within 3 business days to the committee.
- β Keep records of all Owners Corporation committee meeting minutes.
- β Make all meeting minutes available 24/7 on the community portal.
- β Maintain records for postal ballots, info sessions, and Annual General Meetings.
- β Attend AGM online after office hours (6:00 PM β 8:00 PM) at no cost.
- β Convene, attend, submit a budget and financial statement, and record AGM minutes.
- β Submit Manager’s activity report at each AGM (as per Section 126 of the Act, if applicable).
- β Provide a secure online portal for owners to access ledgers, statements, registers, and documents.
- β Ensure all reports including AGM/meeting agendas and minutes are uploaded to the portal.
